Free Spam Filter & 2,400 meg Email Backup Via Gmail (What are the benefits?) (Summary)
This tutorial will show you how to use the best and the cheapest spam filter on the Internet. Google has a top notch spam filter that is constantly updated and they provide 2,500 meg of free email space so why not use it to your advantage. Like anything free it takes some work, but once it's setup you're set for life, or at least until Google fades away.
1. Create a new www.Gmail.com email account, doesn't matter the name, you will not send from it and no one will ever be sending email to this account so you may want to choose something obscure, but for this example we'll say you create newEmail@gmail.com .
After Creation and login of new Gmail account, Click Settings near top, then Click the "Forwarding & Pop" link
Where is says "Forward a copy of incoming mail to" enter a Gmail@your_domain_name.com, don't take that literally, use your actual domain name; a domain is the website address that we host for you so if your website is www.dogtreats.com then enter Gmail@dogtreats.com .
After the word "and" choose "Archive Gmail's Copy" then submit your changes from button at bottom of page.
Now you have a Gmail account that forwards to the domain name we host for you.
2. Login to your Cpanel, that's www.your_domain_name.com/cpanel/ , once logged in click the mail icon
Click "Add/Remove/Manage Accounts" then Click "Add Account" and create a account with the same name as above Gmail@your_domain_name.com REMEMBER your PASSWORD.
Click Home at top right to get back to start, then click Mail Icon, click "Add/Remove/Manage Accounts" look at all your POP accounts and make a note of the names, click back to get back the main email control area.
Click "Forwarders" and make a forwarder for every POP email account you have, forward each account to newEmail@gmail.com Also if you already had forwarders setup create duplicates of all them only forward them also to newEmail@gmail.com .
Delete all forwarders that do no forward to newEmail@gmail.com
Click Home at top right to get back to start, then click Mail Icon, click "Add/Remove/Manage Accounts" and Delete all POP accounts EXCEPT the new Gmail@your_domain_name.com pop account
Now all mail sent to any of your websites emails accounts are forwarded to newEmail@gmail.com filtered for spam and sent back to Gmail@your_domain_name.com
3. Open your outlook or outlook express and create a New POP Account for Gmail@your_domain_name.com . If you see the option, set this account to POP (check email) only , not send, never send email from this account it's only for receiving email.
in Outlook set all your other/previous POP accounts to send/receive from mail.yourdomain.com with your Gmail@your_domain_name.com user name and password.
IMPORTANT: this is the trick, for all your previous POP outlook accounts including any new accounts you may want, Leave the names as is, the Organization, Reply-Email, Name, Your Name, and Email address fields in Outlook all stay as what ever email you want this to appear as. The only thing that should be Gmail@your_domain_name.com is your login information. So So you can in effect look like you are sending from You@your_domain_name.com and people will reply to You@your_domain_name.com but it all goes to newEmail@gmail.com gets filtered for spam, backed up in Archive then sent to your new pop account Gmail@your_domain_name.com that no one knows the name of but you.
Below are outlook Settings

Click "More Settings" and you can set the below.

====================== EXTRA CREDIT ======================================
NOTE: If some should get your Gmail@your_domain_name.com address and start emailing it directly to it, there are filters you can add in Cpanel to stop this. In Cpanel Mail Filtes you can add a rule that says;
AnyHeader that contains "Return-path: <your@actual_email.com>" Discard
So for all the email forwarders you have in your Cpanel, make a Rule for each one that says to Discard Return-path: <your@email-forwarder.com> so if you have a email forwarder named you@dogtreats.com you should have a rule in Cpanel like
AnyHeader that contains "Return-path: <you@dogtreats.com>" Discard (without the Quotes) the reason for this is any email sent correctly through Gmail will have a header like Return-path: <Your-Gmail+caf_=gmail=your-domain-name.com@gmail.com> but since we cannot set negative email filter rules in Cpanel just set a positive rule for each of your email forwarders.
NEXT: you may STILL GET SOME SPAM, after all no one knows what spam is except you, how can a computer know that you do not want that Viagra Email? it can't so if you still get a few repetitive annoying spams Google to the rescue again. Log into your Gmail and under settings you can set filter rules to filter out junk mail that still gets through. Just find a very unique word or phrase in the spam and filter it.

Benefits of this Method ===================================
Get Started
All your email is backed up so if you find you are missing email it's in Gmail, just click "all Mail" to see the archive.
By using this method 99% of all spam is stopped at Gmail so if you check your mail on your phone or while on vacation you will not have to wade through all the SPAM.
If you set spam rules in outlook or use spam software your PC it's only good on that PC so as soon as you change PC's , it crashes or whatever you loose all those rules you have built up over the months/years and you get spamed to death again. Beside your spam software usually gets you at least once a year for paid upgrades.
If you have a PC at work and at home no need to maintain spam software on both.
This method deletes spam before it ever gets on the sever keeping your website running fast and never uses any of our or your CPU power.
Did I mention it's Free!
===================== Summary =================================================
What you are
doing here is eliminating all website pop accounts except one and that one
account is kept secret by not sending, not using , not putting it on any
website, it's only for receiving email. All your public emails are really
just forwarders to Gmail that get filtered and sent to your private website
email account. If some does find out your private account and sends directly to
it, you can set filters in Cpanel to delete email on the server that is sent
directly to the private account.
